JOB TITLE: Senior Operations and Logistics Officer
SALARY BAND: SG 9
RESPONSIBLE TO: Operations & Logistics Manager
HOURS OF WORK: 37.5 hours per week
Standard working hours are 8 am to 4 pm, Monday to Friday, with a one-hour lunch break. The employee may be required to work outside normal hours, including weekends, to meet operational requirements.
Context and Background
The Senior Operations & Logistics Officer supports the day-to-day operations, logistics, and procurement of SIF across Mahé, Vallée de Mai (Praslin), Aldabra, and Assomption, ensuring that activities are executed efficiently, cost-effectively, and in line with organizational policies and conservation objectives. The role directly supervises the Operations & Logistics Officers, coordinates key operational processes, and provides operational input and reports to the Operations & Logistics Manager. The Senior Officer also maintains professional relationships with suppliers, service providers, contractors, and regulatory agencies for routine operational matters, and contributes to resource management, compliance, and operational planning as directed by the Manager.
Duties and responsibilities
1. Operational & logistic and management
- Coordinate and oversee supply boat planning, loading, and dispatch of goods, ensuring schedules are adhered to.
- Execute and monitor day-to-day procurement activities (quotations, supplier negotiations, documentation), escalating major or strategic procurement to the Manager.
- Coordinate and administer tender documentation, evaluations, and recommendations; escalate to Manager for review and final recommendation.
- Coordinate logistics for IDC flight bookings, staff transportation, mail and document dispatch, and inter-island travel arrangements.
- Oversee and support logistics associated with biosecurity procedures for all shipments and staff movements to sites, conducting checks when required.
- Ensure effective organization and management of stores and inventory across sites.
- Coordinate import/export clearance processes and coco de mer exportation/extraction in line with established protocols.
- Track and report on facilities, vehicles, and equipment maintenance schedules.
- Ensure liaison with the appropriate department to administer renewals, track deadlines, and process claims for telecoms, licensing, and insurance; escalate systemic or contractual issues to the Manage.
- Support and supervise staff in operational training, onboarding, and compliance with SOPs.
2. Planning, reporting and policy
- Compile and draft operational reports, CDM inputs, and monthly updates; submit to Manager for review, validation, and onward submission.
- Support financial and resource planning by monitoring expenditure and identifying cost-efficiency measures.
- Draft and recommend updates to SOPs, policies, and operational protocols for Manager’s review and approval.
- Provide data, insights, and recommendations to inform logistics and operations planning led by the Manager.
- Track fleet usage, fuel consumption, and utilization of assets such as vehicles, boats, and equipment; and provide recommendations for optimization.
- Ensure risk management and safety procedures are implemented and monitored.
- Provide regular updates to departments on the status and outcomes of their operational requests, ensuring transparency and timely communication.
3. Coordination & supervision
- Provide direct supervision and mentoring of the Operations & Logistics Officer, including work allocation, guidance, and monitoring of task delivery.
- Act as the main point of contact for site managers on operational requests, providing timely feedback and escalating issues to the Manager when necessary.
- Coordinate internal meetings and operational briefings to ensure effective communication across departments.
- Act as point of contact for routine stakeholder queries and operational issues; escalate significant matters requiring leadership input to the Manager.
- Provide coordination support for strategic projects, operational reviews, and special assignments.
- Collect performance data, monitor agreed KPIs, and provide feedback summaries to the Manager to support implementation of the performance management system.
- Drive SIF vehicles as required for site visits, operational support, and maintain accurate vehicle logbooks with mileage for all trips undertaken.
- Oversee the driving duties of Operations & Logistics staff, ensuring vehicles are used appropriately and that accurate mileage and usage records are maintained by the team
4. Administrative support
- Ensure proper records management, including procurement files, service contracts, inventory, and operational logs.
- Supervise issuance of stationery, office supplies, and facilities access controls.
- Oversee preparation of reports, notes, and documentation for flights, boats, and site operations.
Job Specifications
1. Educational qualify (minimum)
- Bachelor’s degree in one of the following areas:
- Logistics / Supply Chain Management
- Operations Management
- Business Administration / Management
- Environmental Management
2. Professional training / certifications (Optional but advantageous)
- Procurement and Contract Management
- Training in Project Management
- Health, Safety, and Risk Management (advanced level)
- Leadership / Supervisory Development Training
- Training in Managing People / People Management Skills
3. Experience
- Minimum 5–7 years of progressive experience in operations, logistics, or supply chain management.
- At least 3–5 years in a supervisory/management role with direct responsibility for staff and resource management.
- Demonstrated experience in strategic planning, monitoring performance management systems, and overseeing teams.
- Prior experience in conservation, NGO, multi-site, or remote operations is highly desirable.
4. Additional requirements
- Valid driver’s license (Class 2 or 4, depending on vehicle requirements).
